About the North Carolina Public Records Act
In accordance with the North Carolina Public Records Act (North Carolina Government Code § 132), the Village of Pinehurst strives to provide prompt and efficient access to public records. These records may include, but are not limited to: agendas, minutes, resolutions, ordinances, agreements, maps, and other documented material regardless of physical form or characteristics, made or received pursuant to law or ordinance in connection with the transaction of public business by the Village. Any person may request to inspect or receive a copy of a public record, excluding records exempt from disclosure by law. In certain circumstances, additional time may be required for research or records retrieval. All document duplication fees are based on the Village’s current Fees and Charges Schedule. Step 1
Please use the “Public Records Request” form to identify each requested record or document. Please be as specific as possible (use dates, locations, departments, etc.). Non-specific inquiries may cause delayed response times.
Step 2
Submit this form to the Village Clerk at skonstantinou@vopnc.org or deliver it to Village Hall at 395 Magnolia Road. The Village Clerk will work with staff to respond to the request in a reasonable time frame. Staff will also inform you of any reproduction charges if applicable prior to filling the request.
Fees for Records
• Personal copies can be made at the Village Hall Front Desk at a cost of $0.10 per page (black & white) and plan sheets (22 X 34) at $12.00 per sheet.
• Actual overtime costs will be charged if overtime is needed to fulfill a public records request promptly.
• Special service charge for public records requests involving IT resources (> 2 hours of staff time).
Some departments may charge fees associated with staff time required for researching public records depending on the scope and type of request. That information will be provided before the request is completed.
